Offboarding

Why Offboarding is Important? Offboarding ensures a seamless transition when an employee leaves, benefiting both the organization and the departing individual. It provides an opportunity to gather valuable feedback, protect sensitive information, and ensure continuity in tasks and responsibilities. A structured offboarding process supports knowledge transfer, maintains positive relationships, and strengthens the organization’s reputation, making it easier to rehire or collaborate in the future.

At the Department, we have developed easy-to-use checklists that help simplify the offboarding process.

Extension of AU e-mail

Access to AU email can, as a general rule, be extended by 3 months, and in special cases up to a maximum of 12 months, after termination of employment. 

The request must be sent to the Head of Department for approval and must include the following: 

  • An academic justification as well as your AUID
  • A (brief) explanation of why the outstanding work cannot be completed without access to AU’s systems (AU employees can share SharePoint files and folder access with external users, so this is not an obstacle).
  • A timeline describing how and when the need for access can be phased out (so that after any extension, access will no longer be required).

  • A confirmation that offboarding has been completed, including the transfer of data and the return of AU IT equipment.

An approved extension is sent to the Secretariat’s HR officer, who archives it and grant access to the AU email. 

The rules also apply to all externals, e.g. guests, who request an AU email account.
