The new act on working time registration: What does this mean for you?

Dear Aarhus University employee, 

Under a new act on working time registration that came into force on 1 July this year, most workers in Denmark are now required to register their working time.

In line with the other universities in Denmark, Aarhus University will adhere to the guidance of the Danish Employee and Competence Agency with regard to how the act should be interpreted and implemented in the university sector. This means that: 

  •  Technical/administrative employees must register their total working time, like the majority of workers in Denmark.  
  • Academic staff and people managers can be exempted from the working time registration requirement.

If you’re required to register your working time under the new act:  

For some of you, registering working time is already routine; for others, this will be completely new. We expect everyone who is required to register their working time under the new act to be doing so by 1 October.

  • Use AU’s new working time registration form to register your working time. A 37-hour working week has been registered on the form in advance and you only need to register deviations from this standard weekly schedule. This form is suitable for most employees at AU who are required to register their working time, and can be adapted to the schedules of part-time employees.  
  • If you can’t use the working time registration form, for example because you’re paid by the hour or often work outside normal business hours, you should register your working time in the way your manager directs you to.  
  • Regardless of what form you use to register your working time, you must save the form on a SharePoint site. Everyone in your unit will receive more detailed instructions on how to register working time and where to save this information. 
  • The flexitime form currently used at AU will be phased out by the end of 2024, and will be replaced by the new working time registration form. 

If you’re eligible for an exemption from the working time registration requirement: 

  •  Your manager is responsible for handling your exemption. You don’t need to take any action in this regard; this autumn, you will receive an addendum to your employment contract via Digital Post stating that you have been exempted from the requirement. 
  • If you normally register project time, you must continue to do so; registration of project time is not related to the rules on working time registration.

 The act on working time registration was adopted to safeguard the health and safety of workers in Denmark and to ensure employers comply with applicable regulations on working time. Regardless of whether you are required to register your working time under the act, the key to achieving a good balance between workload and working time is still dialogue between you and your manager.
